  • Company Data: Business name, industry, and website.

  • API-Synced Data: Encrypted lead identifiers and form responses provided by advertising platforms.

3. Use of Third-Party Advertising APIs

Growth Media Agency Inc. utilizes Lead Sync and Advertising APIs (specifically LinkedIn Lead Sync, Google Ads API, Meta Graph API, and TikTok Marketing API) for the following purposes:

  • Lead Synchronization: Automated transfer of lead data from social platforms directly to our CRM (HubSpot) to ensure real-time response and data integrity.
  • Closed-Loop Reporting: Connecting lead data with conversion data to provide clients with ROI analysis and campaign optimization.
  • Notification Services: Triggering automated alerts to sales teams when a high-intent lead is captured.

Data Minimization Principle: We only request the minimum API permissions required to perform these tasks (e.g., r_ads_leadgen_automation for LinkedIn) and never access private member data outside of the explicit lead form submissions.

4. Data Processing and "Clay" Enrichment

To improve the quality of marketing data, we use Clay (a data enrichment tool) to validate and enhance business contact information.

  • Lead data may be processed through Clay to verify email deliverability or append public business information.
  • We ensure that any data enrichment is performed in accordance with the terms of our Data Processing Agreement (DPA) with Clay and relevant privacy laws.

5. Data Storage and Infrastructure

  • Primary CRM: All lead data is stored and managed within HubSpot.
  • Cloud Infrastructure: Our internal tools and reporting dashboards are hosted on Google Cloud Platform (GCP). We utilize GCP's enterprise-grade security, including encryption at rest and in transit (AES-256), to protect lead data.
  • Client Access: Clients may be provided with restricted login credentials to view their specific campaign performance and reporting. Clients are strictly prohibited from accessing data belonging to other entities.

6. Data Retention and Deletion

  • Active Data: We retain lead information as long as the marketing relationship is active or as required by the client’s instructions.
  • Automated Deletion: We perform periodic audits to delete lead data that is no longer necessary for active campaigns or reporting.

7. Disclosure of Information

We do not sell, rent, or trade personal information. Data is shared only with:

  • Service Providers: (HubSpot, Google Cloud, Clay) who are contractually bound to maintain confidentiality.

8. International Data Transfers

While we primarily target Canadian audiences and do not run ads in the EU, our use of Google Cloud and HubSpot may involve data storage on servers located in the United States. We ensure these providers maintain equivalent levels of protection to PIPEDA.
